The Recruitment Core offers a range of services related to potential participant identification and enrollment.

Feasibility Counts

Need to know if there are enough potential participants at UW-Madison for your research? The Recruitment Core can generate counts based on your inclusion and exclusion criteria for planning or grant-related purposes.

Potential Participant Recruitment Lists

The Recruitment Core generates lists of potential participants that are delivered to study teams so they can reach out via IRB-approved modalities such as mailings, phone calls, or as part of an in-person appointment.

MyChart Recruitment

The Recruitment Core partners with UW Health to use the patient portal as a means to reach out to potential research participants.

Health Link Build

The Recruitment Core works with the Health Link Research Team at UW Health to facilitate certain recruitment tools (including OPAs and Reporting Workbench reports) within Health Link, UW Health’s electronic health record.

Protected Health Information (PHI) cannot be released to researchers without IRB approval, so IRB approval is required for all Recruitment Core services except feasibility counts. However, we are happy to consult with you prior to IRB approval to discuss recruitment strategies.

There may be specific circumstances in which we’re able to help external researchers, but generally Recruitment Core activities are limited to UW-Madison. We’re happy to discuss any particular recruitment needs during a consult.

The vast majority of the data used by the Recruitment Core comes from UW Health’s electronic health record, though there are several smaller data sources that may also be used. Please request a consult if you’d like to learn more.

Generally speaking, yes. And if the Recruitment Core is unable to provide the data you need, we work closely with the Clinical Research Data Service (CRDS) and can request their assistance in obtaining the data.

Related SMPH Informatics Services

The Clinical Research Data Services (CRDS) team is part of the SMPH Informatics ecosystem that supports UW investigators by providing access to multi-modal research ready data including UW Health clinical data.

The Data Science Core was established through a Data Science to Promote Precision Medicine grant funded through the Wisconsin Partnership Program (WPP). The Data Science Core provides essential data science and omics support and training for SMPH researchers, faculty, and students, empowering them with the tools to drive impactful discoveries.
